How to Turn Voice Memos into Smart Notes with AI-Powered Transcription and Summarization

We all have those moments of inspiration or a sudden rush of tasks that need to get out of our heads immediately. Fumbling to type them out isn't always practical. If you want a frictionless way to record your thoughts and have them automatically organized, there's a powerful shortcut you can build using built-in tools. By the end of this guide, you'll have a system that listens, transcribes, summarizes, and neatly files your voice memos.

What you'll need

This specific workflow relies on the Apple Intelligence action within Shortcuts. Because of this, it works seamlessly across your iPhone, iPad, and Mac. Just keep in mind that it won't run on the Apple Watch since the watch can't currently transcribe audio through this method.

Step 1: Configure your destination folder

Once you have the "Quick Voice Memo to Note" shortcut on your device, you might want to keep things organized. You probably don't want raw voice notes cluttering up your main feed.

  1. Open the shortcut and scroll down to the very bottom action.
  2. Look for the action that creates the note.
  3. Tap the folder variable and choose exactly where these new notes should land.

Step 2: Record your brain dump

When you run the shortcut, it immediately starts listening. A recording interface pops up on your screen. Just start talking.

For example, you might dictate a quick list of tasks for the day: editing a video to publish on Saturday, checking community comments, and getting a podcast ready to ship. When you are finished speaking, just tap the screen to stop the recording.

Step 3: Review your AI-generated note

This is where the magic happens. The shortcut hands your audio over to the AI model. It transcribes the entire recording and then generates a concise summary. Finally, it creates a brand new Apple Note in your designated folder.

The note is intelligently titled based on your content. For example, it might name it "Daily Tasks and Podcast Publishing Plan." Inside, you get a short summary at the top. Below that is your full, verbatim transcript just in case you need the exact wording.

Make it instantly accessible

To make this truly useful, you need to be able to trigger it in seconds.

If you are on a Mac, you can add this shortcut directly to your menu bar. Just click the icon in the top right and select Quick Voice Memo to Note to start recording immediately.

On an iPhone, you can use the customizable Control Center. Tap Edit Controls, hit the plus icon, and add a Shortcuts control specifically linked to this voice memo workflow.
